Essential Skills:
We are seeking a Marketing Administrative Assistant who is the hub of our fast-paced office environment. The ideal candidate is someone with superior organization skills, who pays exceptional attention to detail and is the missing link between flowing business through the office from case prep to applications. We value independence and creativity when researching data online or obtaining client information.
Essentially, the successful candidate will be the hub of the office. They must be able to multitask many different projects and meet deadlines for client appointments. Strong verbal/written communication skills are required for success, as well as the confidence to reach out to new and existing clients on the phone.
Office Responsibilities:
• Direct office communications by answering phones, processing mail & email, etc.)
• Management of and ordering of office supplies
• Assist the Director of Operations and Director of Business Development with case prep and administrative projects
• Point of contact for all business flow through the office (gathering documents, etc.)
• Directing pertinent client information for case prep and/or service
Marketing & Relationship Support:
• Maintain, input, as well as gather data from the CRM database
• Maintain client relationships and events by sending out birthday, and bereavement cards and other special events
• Point of Contact for our scheduler, executing/monitoring the referral process and any leads that come into the office
• Providing market research and gathering contact info for the scheduler
• Gathering names for the scheduler to call for new clients, referrals or reviews on a weekly basis
• Responsible for the financial representative calendar responsible for keeping their calendar up to date at all times
Skills / Requirements
• Working knowledge of standard computer programs including Microsoft Office and basic web browsing skills
• Office experience 3-5yrs
• Exceptional office and customer support
